Trusted by the world’s best research teams

From applicant to scheduled session in four steps

Review applicants, select the best fit, and invite with one click

Step 1

Review

Name your project, write your pitch, choose your research method (remote or in-person), and set session length. Your project title is the first thing participants see so make it count.

Step 2

Evaluate

Compare candidates side by side. Hide participants you want to set aside, disqualify those who aren't a fit, and shortlist the ones you want to move forward.

Step 3

Invite

Send invitations individually or in bulk. Invited participants receive an email and SMS notification with a link to book a time from your available calendar slots.

Step 4

Manage

Track every participant's status in real time — Submitted, Invited, Scheduled, Attended, or Paid. Cancel, reschedule, or re-invite from the same dashboard.

PARTICIPANT MANAGEMENT CONTROLS

Everything you need to manage your participant pool

You decide who participates. Respondent gives you the tools to review carefully, act quickly, and stay organized from first application to final session.

View Responses Dashboard
See every applicant's screener answers, demographic info, and profile details in one place. Filter and sort to surface the best candidates faster.
Qualified vs. Not Qualified
Respondent flags candidates based on your screener criteria, but the final call is always yours. Review flagged applicants and make the invite decision yourself.
Invite Individually or in Bulk
Invite one participant at a time for a careful review, or use Bulk Invite to move multiple qualified candidates forward at once, useful for large studies or unmoderated tasks.
Hide Participants
Temporarily remove a participant from your active view without disqualifying them. Unhide at any time as long as they haven't yet been invited.
Disqualify Participants
Permanently remove a participant who passed the screener but isn't the right fit on closer review. Disqualifying keeps your recruitment target accurate and opens the slot for a better candidate.
Cancel and Re-invite
Need to reschedule a participant? Cancel their current booking and re-invite them in one action. Their status moves back to Invited and they pick a new time from your calendar.

Participant management made easy

From first application to final session, every action you need is in your project dashboard: no extra tools, no extra fees, no chasing participants.

  • Hide participants temporarily to revisit later without affecting your recruitment target
  • Disqualify candidates who passed the screener but aren't the right fit, freeing up the slot for someone better
  • Use Bulk Invite to move multiple qualified participantsforward at once, saving time on larger studies

Handling No-Shows & Changes

FAQ

Who decides which participants get invited?

You do, always. Respondent recruits and surfaces qualified applicants, but the selection and invitation decision is entirely yours. Respondent never selects, screens, or disqualifies participants on your behalf.

How do I invite participants?

From your project's participant dashboard, click Invite next to any applicant to send them an individual invitation. For bulk invites, select multiple participants and use the Bulk Invite action. Invited participants receive an email and SMS with a link to book a time from your calendar.

What's the difference between hiding and disqualifying a participant?

Hiding is temporary. It removes a participant from your active view but they can be unhidden at any time (as long as they haven't been invited yet). Disqualifying is permanent — it removes them from your recruitment target and they cannot be re-invited through the dashboard. If you disqualify someone in error, you'd need to reach out via the Message Center directly.

Can I reschedule a participant after they've booked?

Yes. Use the Cancel & Re-Invite option in the dashboard to cancel their current booking and move their status back to Invited so they can pick a new time. Note: the ability to reschedule is removed within 4 hours of the session. If you cancel within that window, you may still be liable for the incentive and service fee.

What happens if a participant doesn't show up?

Mark them as No Show in your project dashboard. You will not be charged for participants marked as No Show, and they are not entitled to receive their incentive. If you still have open calendar slots, you can re-invite them, but the No Show status must be applied first.

How do I know if a participant is truly qualified?

Respondent flags applicants who meet your screener criteria, but you should review each profile and their screener answers before inviting. Researchers choose invitees based on role, tools used, industry, company size, region, time zone, and availability — all visible in each applicant's profile.

Can I export my applicant list?

Yes. Download a CSV of participant profiles, screener responses, and demographic information from your project dashboard. A valid card on file or sufficient account credit is required to export.

How do I reduce no-shows?

Respondent sends automated reminders at booking, 24 hours before, and 4 hours before the session. You can also use the Message Center to follow up directly. Offering flexible rescheduling and setting a minimum scheduling notice window (12, 24, or 48+ hours) also helps reduce last-minute drops.
